Terms of Use

These Terms of Use (“Terms”) govern your access to and use of ARPORTAL and our immigration case management software, website, and related services (the “Service”). The Service is a multi-tenant platform intended for use by immigration consulting firms and their authorized personnel.

By creating an account, clicking to accept, or using the Service, you agree to these Terms. If you use the Service on behalf of an organization, you represent that you have authority to bind that organization, and “you” includes that organization.

1. The Service

The Service helps Organizations manage leads, clients, applications, documents, tasks, communications, appointments, payments, and reporting in connection with Canadian immigration case work. Features may include dashboards, role-based access, integrations (such as email, SMS, voice, payments, and optional calendar sync), and tools described in our documentation or onboarding materials.

The Service does not provide legal advice. It is a business tool. You and your Organization remain solely responsible for legal advice, regulatory compliance, and professional obligations toward clients.

2. Accounts and eligibility

You must provide accurate registration information and keep it current. You are responsible for safeguarding your credentials and for activity under your account. We may suspend or terminate accounts that violate these Terms or pose a security risk.

3. Sign in with Google

You may register or log in using Google OAuth. When you do, you authorize us to receive the Google profile data you approve on Google’s consent screen (such as your name and email) to operate your account. Your use of Google’s services is also subject to Google’s terms and policies. You may also use email/password or other methods we offer.

4. Google Calendar integration

If you choose to connect Google Calendar, you authorize us to access your Google Calendar for the limited purpose of syncing tasks and related events between the Service and your calendar (for example, creating or updating calendar entries when you sync tasks). This connection is optional. You may revoke access through the Service or through your Google account settings. We do not use your calendar data for advertising.

5. Acceptable use

You agree not to:

  • Use the Service unlawfully or in a way that infringes others’ rights
  • Attempt to access data belonging to another Organization or bypass security or access controls
  • Introduce malware, overload systems, or scrape the Service except as permitted
  • Use the Service to send spam or unlawful communications
  • Reverse engineer the Service except where applicable law forbids this restriction

6. Your content and client data

You retain ownership of content and data you or your Organization submit. You grant us a license to host, process, transmit, and display such data solely to provide and improve the Service, enforce security, and comply with law. Your Organization is responsible for having appropriate rights and consents for client data it enters.

7. Confidentiality and multi-tenancy

We design the Service so that each Organization’s data is isolated. You must not attempt to access another tenant’s data. You must treat non-public information about the Service as confidential where applicable.

8. Third-party services

The Service may integrate with third parties (for example, Google, email providers, telephony, payments). Those services are governed by their own terms. We are not responsible for third-party services beyond our reasonable control.

9. Fees and trials

If you subscribe to paid plans, fees and billing terms are as stated at checkout or in your order. Trials or promotions may be modified or ended as described when offered.

10. Availability and changes

We strive for reliable operation but do not guarantee uninterrupted access. We may modify, suspend, or discontinue features with reasonable notice where practicable.

11. Disclaimer of warranties

THE SERVICE IS PROVIDED “AS IS” AND “AS AVAILABLE” WITHOUT WARRANTIES OF ANY KIND, WHETHER EXPRESS OR IMPLIED, INCLUDING MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT, TO THE MAXIMUM EXTENT PERMITTED BY LAW.

12. Limitation of liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW, NEITHER ARPORTAL NOR ITS SUPPLIERS WILL BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR LOSS OF PROFITS, DATA, OR GOODWILL. OUR AGGREGATE LIABILITY FOR CLAIMS ARISING OUT OF THE SERVICE IN ANY TWELVE-MONTH PERIOD WILL NOT EXCEED THE GREATER OF (A) THE AMOUNTS YOU PAID US FOR THE SERVICE IN THAT PERIOD OR (B) ONE HUNDRED CANADIAN DOLLARS (CAD $100), EXCEPT WHERE LIABILITY CANNOT BE LIMITED BY LAW.

13. Indemnity

You will defend and indemnify us against claims arising from your use of the Service, your content, or your violation of these Terms, subject to our prompt notice and reasonable cooperation.

14. Termination

You may stop using the Service at any time. We may suspend or terminate access for breach of these Terms or as required for legal or operational reasons. Provisions that by their nature should survive will survive termination.

15. Governing law

These Terms are governed by the laws of Canada and the province applicable to your contracting entity, without regard to conflict-of-law rules, except where consumer protection laws require otherwise.

16. Changes to these Terms

We may update these Terms. We will post the revised Terms and update the “Last updated” date. Continued use after changes constitutes acceptance where permitted by law; material changes may require additional notice.
